Vehicle Service Reminder Call Script for Dealers (India)

9 October 2026

Most car and two-wheeler dealerships in India earn a large share of their steady income from the workshop, not the showroom. Yet the service reminder call is often the most neglected job in the dealership: a CRE with a printed list, 150 numbers to get through, half of them not answering, and no record of who promised to come on Saturday. This guide gives you a vehicle service reminder call script you can use from tomorrow, in English, Hindi and Telugu, plus a simple calling schedule and the follow-up rules that turn a reminder into a booked job card.

Why service reminder calls matter

A customer who skips one periodic service often drifts to a local garage for the next one. Each missed visit is lost labour, parts and oil revenue, and it weakens the relationship you will need when that customer is ready to exchange or upgrade. A short, polite call at the right time keeps your workshop calendar full and gives you a reason to talk to every owner a few times a year.

Reminders work best when they are:

  • Timed to the owner's due date, not sent as a single monthly blast.
  • Specific: the vehicle, the service due (first free service, periodic service, or a km milestone) and two slots to choose from.
  • In the customer's language. Many owners are more comfortable in Telugu, Hindi or Tamil than in English.
  • Followed up. A booking without a confirmation call the day before often turns into a no-show.

When to call: a simple reminder schedule

Service intervals differ by manufacturer and model, and are usually set by kilometres or months, whichever comes first. Always take the due dates from the owner's service booklet or your DMS, not from a general rule. Once you know the due date, this calling rhythm works for most dealerships:

WhenCall typeGoal
10–14 days before due dateFirst reminderBook a slot, offer pickup if you provide it
3–5 days before due dateSecond reminder (if not booked)Book a slot or note a reason
1 day before the bookingConfirmation callConfirm time, documents, pickup address
2–3 days after deliveryPost-service feedbackCheck satisfaction, catch complaints early
15–30 days after a missed due dateLapsed reminderWin the customer back before the next interval

For first free services, call earlier and be clear about the validity window in the service booklet, because owners often do not know that a free service can lapse.

The service reminder call script

Keep the call under two minutes. The aim is a booked slot, not a sales pitch.

1. Opening (identify yourself and the vehicle)

"Good morning, am I speaking with Mr. Rao? This is Priya from Sai Motors service centre. I'm calling about your Swift, registration ending 4521. Is this a good time for one minute?"

If they say no, ask for a better time and end the call politely. Note it so the next call happens at that time.

2. The reason (service due)

"Your second periodic service is due around 20 October, or at 10,000 km. Would you like me to book a slot so you don't have to wait at the workshop?"

3. Offer two slots

"I have Saturday at 10 AM or Monday at 9 AM. Which suits you better?" Offering two choices gets a faster answer than "When would you like to come?"

4. Capture the details

  • Current odometer reading (approximate is fine)
  • Any complaint they want checked: noise, AC cooling, brakes, warning light
  • Pickup and drop needed? Confirm the address
  • Preferred contact for the confirmation: call or WhatsApp

5. Close and confirm

"Done, Mr. Rao. Saturday 10 AM at our Kondapur workshop. Please bring the service booklet. We'll call you a day before to confirm. Thank you!"

Hindi version (short)

"Namaste, kya main Sharma ji se baat kar raha hoon? Main Sai Motors service centre se bol raha hoon. Aapki Activa ki periodic service is mahine due hai. Kya main Shanivaar subah 10 baje ya Somvaar 9 baje ka slot book kar doon?"

Telugu version (short)

"Namaskaram andi, Rao garu matladutunnara? Nenu Sai Motors service centre nunchi matladutunnanu. Mee car service ee nela due undi andi. Shanivaram podduna 10 ki leda Somavaram 9 ki slot book cheyyamantara?"

Handling common replies

  • "I'll come later." Ask for a week, not a date: "Shall I call you back next Monday to fix a time?" Then actually call.
  • "I'm getting it done outside." Do not argue. Ask, "May I know the reason, so we can improve?" Price, distance and waiting time are the usual answers, and each one is useful for your service manager.
  • "The vehicle is sold." Thank them, ask if they know the new owner's number only if they are comfortable sharing, and update the record so you stop calling.
  • "How much will it cost?" Give the estimate range from your approved labour and parts list, and say the final amount depends on inspection.
  • "Don't call me again." Apologise, confirm you will not call, and add the number to your do-not-call list immediately.

Compliance basics for service calls

A reminder to an existing customer about their own vehicle is a service call, not a sales pitch, but keep it that way. If the same call starts pushing accessories, extended warranty or exchange offers, it becomes promotional. Call within reasonable hours, respect anyone who asks not to be called, and check the rules before you run promotional campaigns. Our guides on checking DND status before calling and TRAI DLT rules for AI calling explain the details.

A daily checklist for your service CRE

  1. Pull the list of vehicles due in the next 14 days from your DMS.
  2. Call first reminders in the morning and second reminders after lunch.
  3. Record the outcome of every call: booked, call back, not interested (with reason), wrong number, sold.
  4. Make confirmation calls for tomorrow's bookings before 5 PM.
  5. Share the "not interested" reasons with the service manager every week.

How many calls is this, really?

Each booked service can take three to four calls: reminders, a call back, the confirmation and feedback. A workshop handling 20 vehicles a day can easily need well over 50 outbound calls a day, before counting incoming calls asking "Is my car ready?". If you are deciding how much staff that needs, our guide on how many telecallers you need has a simple formula.

Automating service reminders with an AI voice agent

This is where an AI voice agent helps. RANA AI can call every owner on your due list at the time you set, speak in the customer's language (11 Indian languages, including Telugu, Hindi and Tamil, and it follows the caller if they switch), offer slots, capture the odometer reading and complaint, and hand you a recorded, transcribed summary of every call. Owners who ask for a person can be passed to your service advisor. The same agent can answer incoming calls about service timings and bookings, so your workshop phone is not left ringing on a busy Saturday.

See how it works for dealerships on our AI calling for automobile dealers page. If you also handle vehicle insurance renewals, our insurance renewal reminder call script fits into the same calling calendar.

You can build and test a service reminder agent yourself on the 14-day free trial with 100 minutes. Start your free trial.

Frequently asked questions

How many days before the due date should a service reminder call be made?

Make the first reminder 10 to 14 days before the due date, a second call 3 to 5 days before if the customer has not booked, and a confirmation call one day before the booking.

What should a vehicle service reminder call include?

The customer's name, the vehicle and registration, which service is due, two slot options, the odometer reading, any complaint to check, and pickup details if you offer pickup.

Can service reminder calls be made in Telugu or Hindi?

Yes. Calling owners in the language they are most comfortable with usually gets better answers. An AI voice agent like RANA AI can call in 11 Indian languages and switch if the customer changes language mid-call.

Is a service reminder call a promotional call under TRAI rules?

A reminder to an existing customer about their own vehicle's service is a service call. If the call also pushes offers such as accessories or exchange deals, it becomes promotional and the stricter rules for promotional calls apply.

Can an AI voice agent book the service slot itself?

Yes. An AI voice agent can offer slots, take the customer's choice, note the odometer reading and complaint, and send your team a recorded and transcribed summary of each call.
