Preschool Admission Enquiry Calls: Script & Follow-Up
4 October 2026
For most preschools and playschools in India, the admission year is won or lost on the phone. A parent sees your board, a Google listing or an Instagram post, and calls. If nobody picks up, or the person who answers is in the middle of circle time and rushes the call, that parent simply calls the next school on the list.
This guide is for preschool owners and centre heads who answer parent calls themselves or with a small front-office team. It covers what parents actually ask, a call script you can use today (in English, with Hindi and Telugu openers), a follow-up schedule from first call to admission, and the numbers to track.
Why phone enquiries decide preschool admissions
Choosing a first school is an emotional decision. Parents want to hear a warm, confident voice before they visit. Three things usually go wrong:
- Calls come during class hours. Many parents call between 9 AM and 1 PM, which is exactly when the owner or coordinator is with the children.
- The same questions repeat. Fees, timings, age criteria, transport, meals, CCTV and teacher ratio come up on almost every call, so they get answered quickly and without warmth.
- No follow-up. An enquiry that does not book a visit on the first call is often never called again, even though many parents compare three or four schools before they decide.
Admission season makes this worse. Enquiries for a June start usually build from October onwards, and in cities such as Delhi formal nursery registration for private schools opens in early December. That is when your phone is busiest and your team is least free.
What parents ask on the first call
Write down a clear, honest answer to each of these before the season starts. Whoever picks up the phone, a person or an AI voice agent, should give the same answer every time.
| Question | What to have ready |
|---|---|
| Age criteria | Minimum age for playgroup, nursery, LKG and UKG as on your cut-off date |
| Fees | Admission fee, term or monthly fee, what is included, and any refundable deposit |
| Timings | Class hours, day-care hours if offered, and pick-up flexibility |
| Safety | CCTV, staff verification, pick-up authorisation, first aid |
| Curriculum | Your approach (play-based, Montessori-inspired, etc.) in one or two simple sentences |
| Class size | Children per class and teacher-to-child ratio |
| Transport and meals | Areas covered, cost, and what children eat |
| Visit | Days and time slots when parents can see the school |
If a fee depends on the programme, say so and give the range. Parents trust a school that is clear about money.
A preschool admission enquiry call script
The goal of the first call is not to "sell" the school. It is to understand the child, answer questions honestly and book a visit. Keep it short and friendly.
1. Greeting (first 10 seconds)
"Good morning, thank you for calling [School Name]. This is [Name]. Are you calling about admission for your child?"
Hindi opener: "Namaste, [School Name] mein call karne ke liye dhanyavaad. Kya aap apne bachche ke admission ke baare mein pooch rahe hain?"
Telugu opener: "Namaskaram, [School Name] ki call chesinanduku thanks andi. Mee pillala admission gurinchi aa andi?"
2. Understand the child
- "May I know your child's name and date of birth?" (this tells you the right class)
- "Which area do you stay in?" (decides transport and distance)
- "Is your child going to any playschool now, or will this be the first school?"
3. Answer their question, then add one reason to visit
Answer exactly what they asked first. Then add one specific, true detail: "Our nursery class has [X] children with two teachers, and parents can watch a short part of the morning session when they visit."
4. Book the visit
"The best way to decide is to see the classroom while children are there. We have visits on [day] at [time] or [day] at [time]. Which is easier for you?" Offer two slots, not an open question.
5. Confirm and close
"I've booked you for [day, time]. I'll send the address and fee details on WhatsApp to this number. Is that okay?" Ask before you message, and note the parent's name, child's age and preferred language.
Follow-up schedule: from enquiry to admission
Most lost admissions are not "no". They are "we'll think about it" followed by silence. A simple schedule fixes that.
- Within 5 minutes of a missed call: call back. A parent who called you is often still comparing schools in the same hour. Our missed call to lead conversion playbook explains why speed matters so much.
- The day before the visit: a reminder call or message with the time and directions.
- The evening after the visit: a short call: "How did your child like the classroom? Do you have any questions about fees or timings?"
- Day 3 and day 7 after the visit: one follow-up each, with something useful (seat availability in that class, the admission deadline, a parent orientation date).
- Enquired but never visited: one call after a week, then one more before your admission deadline. Then stop.
Always respect the parent's choice. If someone says they have chosen another school or asks you not to call, mark it and stop. Call only parents who enquired with you, and only at reasonable hours.
Checklist before admission season
- Fee sheet and age criteria finalised and written in simple language
- Visit slots fixed for the next four weeks
- One place to log every enquiry: name, number, child's age, source, status
- A rule for who calls back missed calls, and how fast
- Answers in the languages your parents speak (English, Hindi, Telugu, Tamil and so on)
- A weekly look at the numbers below
Numbers worth tracking
- Missed calls: how many enquiry calls went unanswered each week.
- Call-to-visit rate: enquiries that booked a school visit.
- Visit show-up rate: booked visits that actually happened.
- Visit-to-admission rate: visits that turned into a paid admission.
- Source: where each enquiry came from (Google, Instagram, referral, board), so you know where to spend.
Even a rough count in a notebook or spreadsheet shows you where admissions leak. Most schools find the biggest leak is at the very first step: calls nobody answered.
Where an AI voice agent helps
If you are teaching while the phone rings, an AI voice agent can answer every parent call instantly, in the parent's language, using your fee sheet and FAQs. It can capture the child's details, book school visits, call back missed enquiries and make the reminder and follow-up calls above, then share a transcript and summary so you only step in when a parent is ready to enrol. It should introduce itself as your school's assistant, and parents can always ask to speak to you.
RANA AI does this for schools, coaching institutes and colleges. See how it works on our AI calling for education and coaching page, or start a free 14-day trial with 100 minutes and set up your school's assistant yourself.
Frequently asked questions
What should a preschool say when a parent calls for admission?
Greet the parent warmly, ask the child's name, date of birth and area, answer their question clearly (fees, timings, age criteria), share one true detail about your school and offer two specific visit slots. The goal of the first call is to book a school visit.
How quickly should a preschool call back a missed admission enquiry?
Ideally within five minutes. Parents usually compare several preschools at the same time, so a fast, friendly callback often decides which school they visit first.
How many times should we follow up a preschool enquiry?
A simple schedule works: a reminder the day before the visit, a call the evening after it, then one follow-up on day 3 and day 7. For parents who never visited, call once after a week and once before your admission deadline, then stop. Always stop if a parent asks you not to call.
When does preschool admission season start in India?
For a June start, enquiries usually build from October onwards and stay high until about March. In Delhi, formal nursery registration for private schools has opened in early December in recent years, so October and November are when parents start shortlisting.
Can an AI voice agent answer parent calls for a preschool?
Yes. An AI voice agent such as RANA AI can answer every call instantly in the parent's language, share fees and timings from your information, capture the child's details, book school visits and make reminder calls, then hand the summary to you. It should introduce itself as the school's assistant.
