COD Order Confirmation Call Script to Cut RTO

Cash on delivery is still how a large share of Indian shoppers prefer to pay, especially outside the metros and for first orders from a brand they don't know. The catch is RTO (return to origin): the parcel goes out, the customer refuses it or can't be reached, and you pay forward and return shipping on an order that earned nothing. COD orders come back far more often than prepaid ones, and every return also ties up stock for a week or more.

One of the cheapest fixes is a short COD order confirmation call before you ship. This guide gives you a ready script (English, Hindi and Telugu), when to call, what to do with each answer, and how to run it at scale without hiring a calling team.

Why a confirmation call reduces RTO

Most COD returns are not fraud. They fall into a few predictable buckets, and a 60–90 second call catches most of them before the parcel leaves your warehouse:

  • Impulse orders: the customer ordered late at night and has changed their mind. Better to cancel now than pay shipping both ways.
  • Wrong or incomplete address: missing flat number, landmark or a wrong pincode. Couriers mark these "address not found" and send them back.
  • Unavailable on delivery day: the customer is travelling or at work. A preferred time or alternate number fixes this.
  • Cash not ready: the buyer didn't expect the amount, or wants to pay online. Some will switch to prepaid if you offer a payment link.
  • Fake or test orders: wrong numbers and orders nobody remembers placing. These should never ship.

An SMS or WhatsApp confirmation helps, but many buyers ignore messages. A voice call gets an answer and lets you fix the address in the same conversation.

Set a clear rule for unconfirmed orders, for example "hold for 24 hours, then cancel after three unanswered attempts". Shipping an unconfirmed COD order is usually the most expensive choice.

The COD confirmation call script

Keep it short, polite and specific. Say the brand name, the product and the exact amount in the first sentence so the customer knows this is a real order and not a sales call.

English

  1. Open: "Hello, this is Priya calling from [Brand] about your order of [product], ₹[amount] cash on delivery. Is this a good time for one minute?"
  2. Confirm the order: "Shall we go ahead and ship it?"
  3. Confirm the address: "I have the address as [flat/house], [area], [city], pincode [pincode]. Is that correct? Is there a landmark the delivery person should know?"
  4. Delivery availability: "Delivery should reach you in [x] days. Will someone be available to receive it and pay ₹[amount]?"
  5. Optional prepaid offer: "If you prefer, we can send a payment link so you don't need cash at the door." (Mention any prepaid discount only if you actually offer one.)
  6. Close: "Thank you, your order is confirmed and will be shipped [today/tomorrow]."

Hindi

"Namaste, main [Brand] se Priya bol rahi hoon. Aapne [product] order kiya hai, ₹[amount] cash on delivery. Kya hum ise aaj ship kar dein? Aapka address [address], pincode [pincode] hai, sahi hai? Delivery ke time koi ghar par rahega jo ₹[amount] de sake? Dhanyavaad, aapka order confirm ho gaya hai."

Telugu

Many customers are more comfortable answering in their own language. If your orders come from many states, use the customer's state or pincode to pick the opening language and switch if they reply in another.

Handling the common answers

  • "Yes, ship it": mark the order confirmed and push it to dispatch.
  • "Change the address": read the new address back slowly, including pincode, and update the order before the label is printed.
  • "I didn't place this order": apologise, cancel and flag the phone number.
  • "Cancel it": don't argue. Ask once if there's a problem you can fix (size, colour, delivery date), then cancel politely.
  • "Deliver after the 5th / on the weekend": note the preferred date and hold dispatch accordingly.
  • "Call me later": ask for a time and schedule the callback.
  • No answer or switched off: retry as per your timing rule, and send a WhatsApp or SMS with a confirm link in between.

Every outcome should land back on the order as a status: confirmed, address changed, reschedule, cancelled, or unreachable. That is what lets your warehouse act on it without someone reading call notes.

Checklist before you start calling

  • Dispatch cut-off time agreed with the warehouse (e.g. orders confirmed by 2 PM ship the same day)
  • Rules for which orders need a call (all COD, or COD above a value)
  • Retry rules and an auto-cancel rule for unconfirmed orders
  • Order data available to the caller: name, product, amount, address, pincode
  • A way to write the outcome back to your store or order system

Doing it by hand vs automating it

A trained person can make perhaps 40–60 short confirmation calls an hour, including retries and logging the outcome. That works at 50 orders a day. Measure what changes

Track these for two to four weeks before and after you start confirmation calls:

  • RTO rate on COD orders (returned ÷ shipped)
  • Share of COD orders cancelled before dispatch (these are savings, not losses)
  • Address corrections made on calls
  • Answer rate on the first attempt, and by time of day
  • COD-to-prepaid switches, if you offer a payment link

If cancellations before dispatch rise and RTO falls, the calls are doing their job.
