Restaurant Reservation Confirmation Call Script (India)

23 October 2026

A table for eight booked for 8:30 on a Saturday is the most valuable reservation your restaurant takes all week. It is also the one most likely to quietly not turn up. In most Indian restaurants the "confirmation system" is a captain calling from the floor phone between orders, if someone remembers. This guide gives you a ready-to-use restaurant reservation confirmation call script in English, Hindi and Telugu, a simple timing plan, and the rules that decide when a call is a polite reminder and when it becomes spam.

Why reservations go missing

Guests rarely cancel on purpose. They book two places while the group decides, plans change after office, or the person who booked forgets to tell the others. A few patterns are common across Indian restaurants, cafés and banquet-style family restaurants:

  • Multiple holds: one person in a group books at two or three places and the group picks one at the last minute.
  • Booking made days ago: the longer the gap between booking and the visit, the easier it is to forget.
  • No easy way to cancel: calling a busy restaurant to cancel feels awkward, so guests simply skip it.
  • Peak nights: weekends, New Year's Eve, Valentine's Day, match nights and festival dinners attract the most speculative bookings.

A short confirmation call fixes most of this, because it gives the guest an easy moment to say "actually, we'll come at 9" or "please cancel", and it frees the table while you can still give it to someone on the waitlist.

When to call: a simple timing plan

Booking typeFirst touchConfirmation callIf no answer
Regular table (2–4 guests)Booking message right after they bookSame day, 3–4 hours before the slotOne retry after 30 minutes, then a WhatsApp/SMS note
Large table (6+ guests)Booking message with the confirmed headcountDay before, plus a short call 3 hours beforeRetry once; ask the captain to call personally
Party, birthday or private sectionWritten menu and advance details2 days before to lock headcount and menuEscalate to the manager the same day
Peak nights (31 Dec, festivals)Booking message with any advance or set-menu termsDay before and morning of the eventRelease the table to the waitlist at a fixed time you announced

Two practical rules: never call during the guest's likely lunch or commute rush if you can avoid it (late morning and mid-afternoon work well), and always tell the guest by when you will hold the table, for example "we can hold it for 15 minutes past 8:30".

Restaurant reservation confirmation call script (English)

Keep the call under a minute. The goal is one of three outcomes: confirmed, changed, or cancelled.

  1. Greeting: "Hi, this is Rana calling from [Restaurant name], Jubilee Hills. Am I speaking with Mr. Arjun?"
  2. Purpose: "You have a table for six tonight at 8:30. I'm just calling to confirm it for you."
  3. Confirm or change: "Will all six of you be coming at 8:30, or would you like to change the time or number of guests?"
  4. Useful details: "Would you prefer the family section or the terrace? Any Jain or vegetarian preferences or a birthday we should know about?"
  5. Hold policy: "We'll hold the table till 8:45. If your plans change, just reply to our message and we'll free it up."
  6. Close: "Thank you, see you tonight. Valet parking is available at the main gate."

If the guest cancels: "No problem at all, I've cancelled it. Would you like me to book another day for you?" That single question often recovers the booking for a later date.

Hindi version

"Namaste, main Rana bol rahi hoon [Restaurant name], Jubilee Hills se. Kya meri baat Arjun ji se ho rahi hai? Aaj raat 8:30 baje chhe logon ke liye aapki table book hai, bas confirm karne ke liye call kiya. Kya aap sab 8:30 par aa rahe hain, ya time ya log badalne hain? Family section chahiye ya terrace? Koi Jain ya veg preference ya birthday ho to bata dijiye. Hum table 8:45 tak hold karenge. Dhanyavaad, aaj raat milte hain."

Telugu version

"Namaskaram, nenu Rana, [Restaurant name], Jubilee Hills nunchi maatladutunnanu. Arjun garu maatladutunnara? Ee roju raatri 8:30 ki aaru mandiki table book ayyindi, confirm cheyadaniki call chesanu. Andaru 8:30 ki vastunnara, leka time leda members marchala? Family section kavala, terrace kavala? Jain leda veg preference, birthday emaina unte cheppandi. Table 8:45 varaku hold chestamu. Dhanyavaadalu, raatri kaluddam."

In Hyderabad, Bengaluru and Chennai many guests reply in a mix of English and the local language. Your script, human or AI, should accept "haan, but 9 o'clock" or "avunu, kani 7 members" without making the guest repeat themselves.

Party and large-group bookings: what to lock in

For birthdays, office dinners and kitty parties, the confirmation call is really a planning call. Use this checklist two days before:

  • Final headcount, with a minimum guarantee if you charge per plate
  • Set menu or à la carte, and how many vegetarian, Jain and non-vegetarian guests
  • Cake, decoration or music the guest is bringing, and any outside-food policy
  • Advance amount (if any), whether it is adjustable against the bill, and your cancellation terms
  • Arrival time and who the on-site contact is from their side

Put these answers into the booking note so the captain on duty does not have to call the guest again.

Deposits and advances: use them carefully

Many Indian restaurants take a UPI advance for peak nights and large parties. It works, but only when it is clearly explained at booking time and adjusted against the final bill. For a regular table of two on a weekday, an advance usually costs you more bookings than it saves. A good middle path: no advance for small tables, a confirmation call for every booking, and an advance only for large groups or set-menu events.

Confirmation calls vs promotional calls: the rules

A call about a reservation the guest made is a service call: the guest gave you their number for this booking and expects to hear from you. A call announcing your new festival menu or a weekend offer to past guests is promotional, and in India that falls under TRAI's commercial communication rules, including DND/NCPR preferences and consent. Keep the two separate: use your booking list only for booking calls, and run promotional calls only to customers who agreed to hear from you, through the proper registered route. Our guide to TRAI DLT rules for AI calling explains the difference in detail.

Doing this without tying up your staff

The problem with confirmation calls is not the script, it's the timing: they are due at exactly the hours your team is busiest with lunch service or evening prep. Options, from simplest to most automated:

  • A fixed calling slot: one host calls all of tonight's bookings at 4 pm from a printed list.
  • Messages first, calls for big tables: send a WhatsApp/SMS confirmation to everyone and call only tables of six or more.
  • An AI voice agent: it calls every booking at the time you set, in the guest's language, records confirmed, changed or cancelled, and answers the incoming "do you have a table tonight?" calls during the rush. See how this works on our AI voice agent for restaurants page.

RANA AI speaks 11 Indian languages, including Telugu, Hindi, Tamil and Kannada, and follows the guest if they switch languages mid-call. If you also run rooms or banquet halls, our hotel reservation call script covers room and function-hall enquiries. You can start a free trial and test the script above on your own bookings.

Quick checklist

  • Every booking gets a message at booking time with the date, time, headcount and hold time.
  • Every booking gets a confirmation call on the day; large groups get one the day before as well.
  • Each call ends in one of three outcomes: confirmed, changed or cancelled, written into the booking.
  • Cancelled tables go straight to the waitlist.
  • Promotional calls use only customers who agreed to receive them.

Frequently asked questions

When should a restaurant call to confirm a reservation?

For regular tables, call on the day of the booking, about 3–4 hours before the slot. For groups of six or more, call the day before and again a few hours before. Party and private-section bookings should be confirmed two days ahead to lock the headcount and menu.

What should a reservation confirmation call include?

The guest's name, date, time and number of guests, a question about any change, seating or food preferences such as Jain or vegetarian, and how long you will hold the table. Every call should end as confirmed, changed or cancelled.

Is a reservation confirmation call allowed for numbers on DND?

A call about a booking the guest made is a service call about their own reservation. Promotional calls, such as festival menu offers to past guests, fall under TRAI's commercial communication rules, so keep them separate and call only customers who agreed to receive them.

Should restaurants take a deposit to reduce no-shows?

An advance works best for large groups, set-menu events and peak nights like New Year's Eve, provided it is explained at booking time and adjusted against the bill. For small weekday tables, a confirmation call is usually enough.

Can an AI voice agent make restaurant confirmation calls in Hindi or Telugu?

Yes. RANA AI calls guests at the time you set in 11 Indian languages, including Hindi and Telugu, follows the guest if they switch languages, and records whether the booking was confirmed, changed or cancelled.
