Gym Trial Follow-Up & Renewal Call Script (India)
22 October 2026
Most gyms in India spend real money to bring people in for a free trial — Instagram ads, flyers, referral offers — and then lose them in the 48 hours after the session. Nobody calls, or the front desk calls once, gets no answer and moves on. The same thing happens a few months later when memberships come up for renewal.
This guide gives you a ready-to-use gym trial follow-up call script, a renewal reminder script and a win-back script for lapsed members, plus a simple calling schedule, objection answers and the rules you must follow when calling members in India. Use it with your front-desk team, your sales staff or an AI voice agent for gyms.
Why the first call after a trial matters so much
A trial visitor is warmest on the day of the session. They have seen the equipment, met a trainer and felt the energy. Each day that passes, the memory fades and the excuses grow: "too far", "too expensive", "I'll start after Diwali". A short, friendly call that asks how the session went and what is holding them back does three things:
- It shows the gym cares about the person, not just the fee.
- It surfaces the real objection (timing, price, distance, fear of not fitting in) while you can still answer it.
- It gives a clear next step — a second session, a trainer consult or a membership offer with a deadline.
The follow-up calling schedule
Do not rely on one call. Use a short, fixed sequence and stop as soon as the person joins or says no.
| When | Call type | Goal |
|---|---|---|
| Same day, 2–4 hours after the trial | Trial feedback call | Ask how it went, uncover the objection, offer to book a second session or join |
| Day 2 | Second attempt (if not reached) | Same script, different time of day |
| Day 4–5 | Offer call | Remind them of the joining offer and its end date |
| Day 10 | Last call | Check if they joined elsewhere; ask permission to call during the next offer |
| 30, 15 and 3 days before expiry | Renewal reminder | Renew early, upgrade plan, or book a progress check |
| 15–45 days after lapse | Win-back call | Learn why they stopped and invite them back |
Call between 10 AM and 1 PM or 5 PM and 8 PM on weekdays, when most members are not working out or commuting. Keep every call under three minutes.
Script 1: Trial follow-up call
Opening: "Hi, is this Priya? This is Rana, calling from FitZone Kondapur. You came in for a trial session today — I just wanted to check how it went. Is this a good time for two minutes?"
If yes: "How did you find the session? Was the trainer helpful?"
Discovery questions (ask one or two, not all):
- "What made you want to start at a gym right now?" (weight loss, strength, doctor's advice, a wedding coming up)
- "Which time of day suits you best — morning or evening?"
- "Is there anything that's making you hesitate about joining?"
Next step: "Based on what you told me, the 6 AM batch with Coach Ravi would suit you. We also have the joining offer running till Sunday. Would you like me to book a second session first, or shall I reserve your membership?"
Close: "Done — I've booked you for Thursday at 6 AM. You'll get a WhatsApp confirmation. See you then!"
Telugu and Hindi openings
Many members in Hyderabad, Vijayawada or Pune are more comfortable in their own language. Keep the same structure and switch only the opening:
- Telugu: "Namaskaram, nenu FitZone Kondapur nunchi Rana ni maatladutunnanu. Meeru eeroju trial session ki vacharu — ela anipinchindi? Rendu nimishalu maatladavacha?"
- Hindi: "Namaste, main FitZone Kondapur se Rana bol rahi hoon. Aap aaj trial session ke liye aaye the — kaisa laga? Kya do minute baat kar sakte hain?"

Answering the five most common objections
| Objection | Suggested answer |
|---|---|
| "It's too expensive." | "I understand. Most members pick the quarterly plan because it works out cheaper per month. Would that help, or shall I tell you about the monthly option?" |
| "I don't have time." | "Our 45-minute express batch at 7 AM is built for people with office timings. Would a 3-day-a-week plan be easier to start with?" |
| "I'll start next month." | "No problem. The joining offer ends Sunday — I can lock today's price and you start on the 1st. Shall I do that?" |
| "I'm not sure I'll be regular." | "That's very common. Your trainer will set a simple plan and check in every week. Would a free progress check after 30 days help?" |
| "I'm checking other gyms." | "That makes sense. Can I ask what matters most to you — distance, equipment, trainers or price? I'll tell you honestly where we fit." |
Only offer the discounts and plans your gym actually runs, and write them into the script so every caller says the same thing.
Script 2: Membership renewal reminder
"Hi Arjun, this is Rana from FitZone. Your annual membership ends on 15 November. I wanted to remind you early because renewing before the end date keeps your current rate. You've been coming regularly in the evenings — would you like to renew for another year, or would the six-month plan suit you better?"
If the member has been irregular, change the tone: "We noticed you haven't been in for a few weeks. Is everything okay? Would a session with your trainer to restart your plan help before you decide on renewal?"
Script 3: Win-back call for lapsed members
"Hi Sneha, this is Rana from FitZone. Your membership ended last month and we miss seeing you. Can I ask what made you stop — timing, a change in routine, or something we could have done better?"
Listen and note the reason. Then: "Thank you for telling me. We now have a women-only morning batch / a new trainer for beginners. Would you like to come in for a free comeback session this week?"
If they say no, thank them and ask: "Would it be okay if we call you when we run our next offer?" Respect the answer and record it.
Rules to follow when calling members in India
- Call only people who gave you their number for this purpose — trial sign-ups, members and past members. Calling bought lists is promotional calling and needs DLT registration and the correct number series.
- Respect "don't call me". Add them to your do-not-call list immediately and never call again for offers. Read our guide on how to check DND status before calling.
- Keep reasonable hours. Stay within 9 AM to 9 PM and avoid Sundays for sales calls.
- Introduce yourself honestly, including when an AI assistant makes the call.
- Do not give medical advice on the phone. If a member mentions an injury or condition, suggest they speak with their doctor and your trainer in person.
Checklist: a trial follow-up system that runs every day
- Every trial visitor's name, number, goal and preferred time captured at the desk
- First call within four hours of the trial
- Up to four attempts over ten days, then stop
- Objection and outcome recorded for every call
- Renewal calls scheduled automatically from the expiry date
- Win-back list reviewed every month
- One owner who checks the numbers weekly: trials, calls reached, joins
Can an AI voice agent make these calls?
Yes. The hardest part of trial follow-up is consistency: calling every visitor, at the right time, every day, even when the front desk is busy. RANA AI's voice agent follows up every trial, answers plan and timing questions from your own price list, books second sessions and renewal visits, and calls in 11 Indian languages including Telugu and Hindi. Every call is recorded, transcribed and scored so your manager sees who is ready to join.

Frequently asked questions
When should a gym call a trial member?
Call within two to four hours of the trial session, while the experience is fresh. If you don't reach them, try again on day 2 at a different time, then on day 4–5 with your joining offer, and a last time around day 10.
How many times should I follow up a gym trial lead?
Up to four attempts over about ten days is enough for most gyms. Stop as soon as the person joins or clearly says no, and record their answer so nobody calls them again for offers.
What should a gym membership renewal reminder say?
Mention the exact expiry date, the benefit of renewing early (such as keeping the current rate, if your gym offers that), and give two clear choices — for example annual or six-month — plus the option of a trainer session if the member has been irregular.
Is it legal to call gym trial visitors in India?
Calling people who gave you their number for a trial or membership is service and follow-up calling. Keep to reasonable hours, honour do-not-call requests immediately, and do not call bought or scraped lists without DLT registration and the correct number series.
Can an AI voice agent follow up gym trials in Telugu or Hindi?
Yes. RANA AI's voice agent calls in 11 Indian languages, including Telugu and Hindi, and follows the caller if they switch language mid-call. It uses only the plans and offers you set.
