Fee Reminder Call Script for Schools & Coaching (India)
19 October 2026
Every school and coaching institute in India knows the pattern: the instalment date passes, many parents have not paid, and someone at the front office spends two weeks phoning families one by one. The calls are awkward, they happen between admissions work and parent queries, and many never get made at all.
A good fee reminder call fixes most of this. It is short, polite, sent on a fixed schedule, and gives the parent a simple way to pay or to ask for more time. This guide gives you a ready-to-use fee reminder call script in English, Hindi and Telugu, a reminder schedule, the rules to follow, and how to handle the replies you will actually hear.
Why phone calls still beat SMS for fee reminders
Most institutes already send SMS or WhatsApp reminders, and they help. But a reminder message is easy to ignore, and it cannot answer a question. A call can. Parents often delay payment for a reason that a 40-second conversation solves: they lost the payment link, they want to know whether the late fee applies, they are waiting for salary, or they want to pay in two parts.
The best setup combines both: a message with the payment link, and a call for anyone who has not paid after the message. That way, front-office time goes only to families who need a conversation.
A fee reminder schedule that works
Do not call only after the due date. Most late payments are simple forgetting, and a friendly reminder before the due date prevents them. Use a fixed schedule so every family is treated the same way.
| When | Channel | Goal |
|---|---|---|
| 7 days before due date | SMS / WhatsApp with payment link | Advance notice, amount and date |
| 2 days before due date | Call (unpaid only) | Friendly reminder, answer questions |
| Due date | Message | "Last day without late fee" |
| 3 days after due date | Call (unpaid only) | Find the reason, agree a payment date |
| 10 days after due date | Call by accounts staff | Personal follow-up, as per your fee policy |
Adjust the days to your own fee calendar — quarterly school fees, monthly coaching fees and EMI-based course fees all work with the same pattern.
Fee reminder call script (English)
Use this for the call two days before the due date. Replace the words in brackets with your own details.
- Greeting and identity: "Good morning, this is [name] calling from [institute name]. Am I speaking with [student]'s parent?"
- Purpose in one line: "This is a quick reminder that [student]'s [term / second instalment] fee of ₹[amount] is due on [date]."
- Make paying easy: "We have sent the payment link to this number on WhatsApp. You can also pay at the office or by UPI."
- Invite questions: "Do you have any question about the fee or the payment?"
- Close politely: "Thank you. If you have already paid, please ignore this call. Have a good day."
Keep it under a minute. The parent should feel reminded, not chased.
Hindi version
"Namaste, main [institute name] se [name] bol rahi hoon. Kya main [student] ke parent se baat kar rahi hoon? [Student] ki [second instalment] fees ₹[amount], [date] tak due hai. Payment link aapke WhatsApp par bheja hai — UPI ya office mein bhi pay kar sakte hain. Kya fees ya payment ke baare mein koi sawaal hai? Agar aapne pay kar diya hai to is call ko ignore kar dijiye. Dhanyavaad."
Telugu version
"Namaskaram, nenu [institute name] nundi [name] maatladutunnanu. [Student] parent tho maatladutunnana? [Student] [second instalment] fee ₹[amount], [date] ki due undi. Payment link mee WhatsApp ki pampamu — UPI lo kaani, office lo kaani pay cheyyachu. Fee gurinchi emaina doubts unnaya? Already pay chesi unte, ee call ni ignore cheyyandi. Dhanyavaadalu."
Script for overdue fees (after the due date)
The second call has a different job: find out why the fee is pending and agree a date. Stay neutral — the parent may have a real problem.
- "[Student]'s fee of ₹[amount] was due on [date], and our records show it as pending. Is there anything we can help with?"
- If they forgot: "No problem. Shall I resend the link? Paying by [date] avoids the late fee."
- If they need time: "I understand. By which date would you be able to pay? I will note it for our accounts team."
- If they want instalments: "I will ask our accounts team to call you about instalment options." (Only offer what your policy actually allows.)
- If they dispute the amount: "Thank you for telling me. I will ask the accounts team to check and call you back today."
Record the outcome of every call — paid, promised date, wants a callback, disputed — so the next call starts from where the last one ended.
Rules to follow on fee reminder calls
Fee calls involve children and money, so get the basics right.
- Call the parent or guardian, not the student. Use the number in the admission form. For coaching students who are adults, call the number they registered with.
- Keep it a service call. Under TRAI's TCCCPR rules, a reminder to an existing customer is a service call. If you add a promotion ("we also have a crash course…"), the whole call is treated as promotional. Read our guide to TRAI DLT rules for AI calling before you automate.
- Call at sensible hours. Between 10 AM and 7 PM on working days is a good rule. Avoid early mornings, late evenings and exam days.
- Never threaten or embarrass. Do not mention withholding hall tickets, results or certificates on a reminder call, and never discuss dues with the student in class. Handle serious cases in person, under your written fee policy and your state's fee regulations.
- Protect the data. Share fee details only after confirming you are speaking to the parent, and do not leave amounts in voicemails heard by others. India's DPDP Act expects care with personal data, especially children's.
- Respect "already paid". Sync payments daily so you never call a family that paid yesterday — it is the fastest way to annoy parents.
Checklist before you start this term's reminders
- Fee schedule with due dates, amounts and late-fee rules for each class or batch
- Updated parent phone numbers and preferred language
- Payment link or UPI ID that works on mobile
- Written policy on extensions and instalments, so callers say the same thing
- A daily "paid" list to remove families from the call list
- One person in accounts who handles disputes and callbacks
Should an AI voice agent make these calls?
Fee reminders are one of the best jobs to automate, because the call is short, repetitive and follows a clear script. An AI voice agent can call every unpaid family in their own language — Telugu, Hindi, English and more — at the same time, answer simple questions like "what is the late fee?" or "where is the link?", note promised dates, and pass disputes and instalment requests to your accounts team with a summary. Your staff then speak only to parents who need a person.
RANA AI does exactly this for schools, colleges and coaching institutes, alongside admission enquiry calls and demo-class follow-ups — see AI calling for education. If you also run an early-years branch, our preschool admission enquiry script covers the enquiry side. You can start a free trial and test a fee reminder call to your own phone before rolling it out to parents.
Frequently asked questions
When should a school make fee reminder calls?
Call unpaid families about two days before the due date, then again about three days after it. Send a message with the payment link a week before, so the calls only go to parents who have not paid.
Can a school call parents on DND numbers for fee reminders?
A fee reminder to an existing parent is a service call under TRAI's TCCCPR rules, which is generally allowed for existing customers. Keep promotions out of the call, because mixing an offer into it makes the whole call promotional.
What should I say when a parent asks for more time to pay fees?
Ask by which date they can pay, note it, and pass it to the accounts team. Offer instalments or extensions only if your written fee policy allows them, so every parent hears the same answer.
Can an AI voice agent make fee reminder calls in Telugu or Hindi?
Yes. RANA AI calls each parent in their language, such as Telugu, Hindi or English, answers simple questions about the amount, due date and payment link, and sends disputes or instalment requests to your staff.
